By booking or attending a Hike & Draw event, you agree to the following Terms & Conditions.

1. Our Values & Ethos
Hike & Draw is rooted in creativity, care, and connection to nature. These events are designed to be gentle, encouraging, and non-competitive. You do not need to be an experienced hiker or artist – curiosity and openness are enough.
We value inclusivity and respect for different bodies, abilities, and ways of experiencing the outdoors. Our aim is to create a welcoming space where people feel comfortable, supported, and free to explore creativity at their own pace. While safety is always a priority, we also embrace a slower, more mindful way of being outside together.
We follow a simple leave-no-trace approach: taking all rubbish home with us (including food scraps and fruit peelings), respecting wildlife and habitats, and keeping dogs on leads where appropriate, particularly during nesting season or around livestock. By caring for the places we visit, we help protect them for others and for the natural world itself.

2. About the Organiser
Hike & Draw events are run solo by Sam, an illustrator and creative practitioner with experience leading outdoor creative workshops.
As the sole event leader, I am responsible for guiding the walk, facilitating creative activities, and carrying basic first aid equipment. Group sizes are kept small to ensure a supportive and manageable experience for everyone.

3. About the Event
Hike & Draw events combine guided walking in natural environments with creative drawing activities. Events take place outdoors and may involve uneven terrain, changes in weather, and moderate physical exertion.
Participants are responsible for ensuring the event is suitable for them and that they feel comfortable taking part.

4. Booking & Contract
When you make a booking, a legally binding contract is formed between you (the participant) and Sam (the organiser).
Bookings are confirmed once payment has been received in full.

5. Participant Responsibility & Fitness
You confirm that:
• You are physically and mentally able to take part
• You understand the nature of the activity and its inherent outdoor risks
• You will follow instructions given by the event leader

6. Accessibility & Reasonable Adjustments
I am committed to making Hike & Draw as accessible and inclusive as possible within the constraints of outdoor environments.
Please contact me before booking or as early as possible to discuss:
• Mobility considerations
• Neurodivergent needs
• Sensory sensitivities
• Mental health considerations
• Any other reasonable adjustments that may help you take part comfortably
While not all routes or locations will be fully accessible, I will always aim to be transparent about terrain, pace, and limitations, and to make reasonable adjustments where possible.

7. Medical Conditions & Emergency Treatment
You must inform me in advance of any medical conditions, allergies, injuries, or additional needs that could affect your participation or emergency care.
By attending the event, you consent to:
• Basic first aid being administered if required
• Emergency services being contacted on your behalf if deemed necessary
Hike & Draw cannot accept responsibility for undisclosed medical conditions.

8. First Aid
Basic first aid equipment will be carried by the event leader.
This does not replace personal responsibility for carrying required personal medication (e.g. inhalers, EpiPens).

9. Safety & Conduct
Participants must:
• Wear suitable clothing and footwear for outdoor walking
• Bring any equipment listed in the event information
• Act responsibly and respectfully towards others, wildlife, and the environment
I reserve the right to refuse participation or ask someone to leave the event if their behaviour puts themselves or others at risk. No refund will be issued in such cases.

10. Equipment & Personal Belongings
Unless otherwise stated:
• Basic drawing materials may be provided
• You are welcome to bring your own materials
You are responsible for your personal belongings.
Hike & Draw is not responsible for loss or damage to personal items.

11. Weather & Outdoor Conditions
Events take place outdoors and will run in most weather conditions.
Routes, timings, or activities may be adjusted to ensure safety.
If conditions are unsafe, the event may be cancelled or rescheduled.

12. Cancellation by Participant
• Refunds are only available if the event is cancelled.
• You may transfer your place to another person with prior notice

13. Cancellation or Changes by Us
Events may be cancelled or altered due to:
• Unsafe weather or environmental conditions
• Illness or unavailability of the organiser
• Insufficient bookings
• Circumstances beyond reasonable control
If the event is cancelled, you will be offered:
• A full refund or a transfer to a future event
Hike & Draw is not responsible for additional costs such as travel, parking or accommodation.

14. Liability
Participation is at your own risk.
To the fullest extent permitted by law, Hike & Draw is not liable for:
• Personal injury, illness, or death (unless caused by negligence)
• Loss or damage to personal property
• Indirect or consequential loss
Nothing in these terms excludes liability where it cannot legally be excluded.

15. Photography & Media
Photographs or short videos may be taken during events for promotional purposes (website, social media, marketing).
If you do not wish to be photographed, please let me know before the event.

16. Privacy & Data Protection
Personal data is collected and processed in line with UK GDPR.
Data that may be collected:
• Name and contact details
• Emergency contact details
• Medical information (provided voluntarily)
• Booking and payment records
Your data will only be used for:
• Event administration
• Safety and emergency planning
• Communication about the event
Data will not be shared with third parties unless required by law or in an emergency.
